ThinkFuel had the work. What they didn’t have was a consistent framework for how that work got done. Services were being delivered, but without a standardized process behind them - which meant quality and consistency depended more on individual effort than on a system anyone could follow. Processes weren’t documented. Best practices weren’t being propagated across the team. When a new person joined or a project got handed off, there was no reliable playbook to hand them.

ZenPilot assigned two dedicated Client Coaches to work directly with the ThinkFuel team - not a generic implementation handed off after a kickoff call, but an embedded partnership through the full process. Communication was airtight: regular meetings with the project lead and ongoing Slack availability meant questions got answered and momentum didn’t stall.
The ClickUp restructure focused on making work visible and manageable at every level. Tasks were reorganized so they could be better visualized and tracked, and the new framework gave leadership a clear view of bandwidth and capacity across the team. Client deliverables had a defined home and a defined owner.
The whole team went through ZenPilot’s Agency PM Certification, which built a shared understanding of how to work inside ClickUp and what good project management looks like in practice. Importantly, ZenPilot didn’t just build the system and leave - they trained ThinkFuel to expand and adapt it themselves as the business grew.
