SmartSuite is a database-first work platform that sits somewhere between Airtable and Monday.com. You build Solutions out of Apps (tables) and Records, then layer views, automations, dashboards, and documents on top.
ClickUp is a work management platform first. Tasks, people, deadlines, time, and the hierarchy that holds client work together.
Both can run an agency. They just start from opposite ends, and in 2026 they’re building for different customers.
Here’s the answer upfront:
Pick SmartSuite if your operation is really a set of structured business processes that happen to include tasks: compliance workflows, vendor management, intake pipelines, a CRM you want to design yourself, anything where the record is the unit of work and you want a tidy, consistent data model with time tracking built in. SmartSuite is more coherent than Airtable for this and more structured than Monday.
Pick ClickUp if your operation is people doing deliverable work for clients on deadlines. Templates for whole client Folders, workload against capacity, dependencies, Docs and Chat next to the work, dashboards built from task and time data. For a 20-100 person agency, that’s the job.

What is ClickUp?
ClickUp is an all-in-one work management platform: tasks, Docs, time tracking, dashboards, Whiteboards, Chat, and automations in one Workspace. The hierarchy (Workspace > Spaces > Folders > Lists > Tasks > Subtasks) mirrors how a services business is organized, with views at every level, so a PM can zoom from one task out to every client’s work in a click.
What is SmartSuite?
SmartSuite is a work management platform built on a relational database. The hierarchy is Workspace > Solutions > Apps > Records. A Solution is a self-contained business process (say, “Client Projects” or “Vendor Management”). Apps are the tables inside it. Records are the rows. Every App gets the same library of field types, and records link across Apps the way tables link in a database.
On top of the data, SmartSuite layers views (grid, kanban, calendar, timeline, Gantt, map, chart, dashboards), automations, forms, SmartDoc rich-text fields, and a native Time Tracking Log field. SmartSuite AI is included on every paid plan.
Two things about SmartSuite in 2026 matter for this comparison. First, it discontinued its free plan for new signups on January 1, 2026 (existing free workspaces locked on July 1, 2026). Second, its own explanation for that change says the platform is “evolving into a platform designed to support the advanced workflow, security, and governance needs of mid-market and enterprise organizations,” with Solution Suites for GRC, ITSM, Cybersecurity, Business Resilience, Internal Audit, and CRM. That’s a pretty clear statement of who they’re building for. Agencies aren’t on the list.
Task Management
How each tool thinks about a task
In ClickUp, a task is a first-class object: assignees (plural), a status that belongs to a per-List workflow, start and due dates, time estimates and tracked time, priority, dependencies, subtasks, checklists, watchers, comments (which you can assign to someone as action items), and whatever custom fields you add. All of it plugs into views, automations, and dashboards with zero setup.
In SmartSuite, a task is a record in an App you’ve set up for tasks. SmartSuite does this better than Airtable: it ships with project management field types (status, assigned to, due date, checklists, dependencies, Time Tracking Log), so you aren’t building a task from scratch. Dependencies show up in the Gantt view. For hierarchy, sub-tasks live as records in a linked table (SmartSuite retired its old Sub-Items field in early 2026).
Still, it’s a record. Status is just a field. Two task-shaped Apps in different Solutions won’t share a status scheme unless you design them to. And “where does this live?” gets answered by your data model, which is a different thing from a hierarchy built for client work.
Where ClickUp pulls away for agencies
- ClickUp can template an entire client Folder: Lists, tasks, subtasks, custom field values, and due dates remapped from a start date. New client signs, you deploy, done. SmartSuite has Solution templates, which are good for standing up a new process and less suited to “spin up this client’s 60-task project with next Monday as kickoff.”
- Assigned comments turn any comment into an action item for a named person. SmartSuite has record comments and mentions, without the assign-and-resolve loop.
- Every client lives in the same hierarchy with the same statuses and fields, so “every deliverable across every client, grouped by account manager, due this week” is just a saved view. In SmartSuite you get there if your data model is disciplined (a bigger if than it sounds).
- ClickUp’s Workload view sets capacity per person and shows who’s overbooked. SmartSuite can build resource views from records, but there’s no capacity number to compare against unless you build one.
Where SmartSuite holds its own
Consistency. Every App in SmartSuite has the same field library and behaves the same way. ClickUp Workspaces drift (different statuses in different Lists, custom fields that mean slightly different things) unless somebody owns templates and governance. If you’ve been burned by a messy ClickUp Workspace before, SmartSuite’s structure is a real draw.
Bottom line: ClickUp for managing deliverable work across clients. SmartSuite is a more capable task tool than Airtable, and still a database at heart.
Data Model and Structure
This is SmartSuite’s home field.
Linked record fields create real relationships between Apps. Lookups pull values across them. Formulas, counts, and rollups add them up. Because Solutions are self-contained, you can hand someone a “Vendor Management” Solution and every App inside it makes sense together.
If you want a CRM, an intake pipeline, a compliance tracker, an asset library, or a vendor database, SmartSuite is a faster and tidier place to build it than ClickUp. (We’ve built CRMs in ClickUp and it works. A ClickUp task with 30 custom fields is still a task, though.)
ClickUp’s Relationships and Rollups cover most agency ops data. They don’t give you a schema. SmartSuite does.

Time Tracking, Workload, and Profitability
Here SmartSuite does something Airtable and Notion can’t: it has native time tracking. The Time Tracking Log field lets one or more members start a timer or log time after the fact on a record, with notes and a running total. For a database-first tool, that’s rare.
ClickUp’s time tracking goes further for an agency. Timers and manual entries on every task from the Unlimited plan up, time estimates, billable flags, and reporting by person, client, project, or date range, all of it feeding dashboards and the Workload view. Estimated vs actual at the task, List, Folder, and client level comes built in. You don’t design the report, you just open it.
Neither tool reports profitability natively. ClickUp has the tracked time, the estimates, and the client hierarchy in one place, which is why we built ZP Reports on ClickUp data.
Bottom line: ClickUp for depth of time reporting and for capacity. Credit to SmartSuite for shipping time tracking at all.
Automations
Both follow trigger + condition + action, and both are solid.
ClickUp’s automations are about moving work: status changes, due dates arriving, tasks created or moved, field changes, with actions that assign, move, update, notify, create tasks, or call webhooks. 100+ templates. Runs are capped per plan (5,000/month on Business, 250,000 on Enterprise, as of October 2026).
SmartSuite’s automations work across Apps and are generous on volume: 25,000 runs/month on Team, 100,000 on Professional, 500,000 on Enterprise (as of October 2026). If your processes generate a lot of automation traffic, that gap is real.
Bottom line: Tie on capability. SmartSuite is more generous on run counts. ClickUp’s are more useful out of the box for work management.
Reporting and Dashboards
ClickUp dashboards pull from task and time data with 50+ widget types: hours by client, workload, tasks by status, custom calculations, portfolio rollups. The question they answer is operational: are we on time, who has capacity, where did the hours go.
SmartSuite dashboards and chart views pull from record data and are good at “how many records in each stage, by owner, this quarter.” They’re flexible because the data is structured. They’re weaker on “is the design team overbooked next week?” because there’s no capacity model until you build one.
Bottom line: ClickUp for operational reporting. SmartSuite for reporting on whatever process data you’ve modeled.
Docs, Chat, and Where Conversations Live
ClickUp has Docs (wikis, SOPs, meeting notes, embeddable task views), Whiteboards, and Chat as a standalone messaging product inside the Workspace. Conversations stay next to the work.
SmartSuite has SmartDoc fields (rich text on a record), record comments, and a communication center. That’s enough to annotate a record. It isn’t where your team will write SOPs or run a project conversation, so Slack and Google Docs stay open.
Bottom line: ClickUp. One tool fewer is a real win for a 30-person team.
Client Collaboration
SmartSuite doesn’t charge for read-only users, commenters, or people submitting forms (as of October 2026). Broad read-only client access is cheap.
ClickUp gives you guest seats (a limited number per paid user, scoped to Folders or Lists) plus public sharing of views and dashboards. Guests can be assigned tasks, comment, and track time, which read-only SmartSuite users can’t.

Bottom line: SmartSuite is cheaper for read-only access. ClickUp is better if clients need to participate.

What this means for a 30-person agency
ClickUp Unlimited, annual: $7 x 30 x 12 = $2,520/year. ClickUp Business, annual: $4,320/year.
SmartSuite Team, annual: $15 x 30 x 12 = $5,400/year. SmartSuite Professional (which you’ll probably need once you pass 5,000 records in a Solution): $11,520/year.
That record cap is the number to watch. 5,000 records per Solution sounds like plenty until you realize it’s the combined total across every table in the Solution, and sub-items count as records too (SmartSuite has deprecated its old Sub-Items field in favor of linked tables). I’d imagine an agency with 25 active clients passes it within a quarter, and then the real price is $32/seat.
Bottom line: ClickUp is cheaper at every tier, has a free plan, and doesn’t meter your work history the same way.

Honest Limitations
ClickUp’s limitations
The learning curve is real. Turn everything on without a plan and you end up with a cluttered Workspace nobody trusts. It’s the most common failure pattern we see, and it’s a setup problem more than a tool problem. (It’s why our implementation framework exists.)
It’s a mediocre database. Relationships and Rollups work, but a tight relational schema across many tables is where ClickUp’s ceiling shows.
Workspaces drift. Without governance, statuses and fields diverge across Lists. SmartSuite’s uniform structure makes that harder to do.
SmartSuite’s limitations
Agencies aren’t the customer anymore. SmartSuite’s own messaging around dropping the free plan names mid-market and enterprise, GRC, ITSM, and internal audit as the direction. Roadmaps follow customers.
No free plan, and seat minimums. $45/month is the floor on Team and $160/month on Professional, before you’ve added a 6th person.
5,000 records per Solution on Team. Work history is data, and SmartSuite meters it.
Docs and chat are thin. You’ll keep other tools open for SOPs and conversation.
Templates are built for processes. Standing up a new Solution is easy. Deploying a client project with dates remapped from kickoff is a different job, and the template system wasn’t made for it.
Who Should Choose SmartSuite?
SmartSuite is the right call if:
- Your operation is a set of structured processes more than a set of deliverables: intake, compliance, vendor management, audits, CRM.
- You want one consistent data model across every process, and you’ve been burned by a sprawling ClickUp, Airtable, or Monday setup before.
- You’re mid-market and governance matters: SSO, audit logs, data residency, HIPAA.
- You need wide, free, read-only access for stakeholders.
- You were going to pick Airtable anyway and want time tracking and project management field types included. (SmartSuite vs Airtable is probably the real shortlist for this kind of team.)
Who Should Choose ClickUp?
ClickUp is the right call if:
- You manage client work with deadlines, owners, and accountability across many accounts. Agencies, consultancies, professional services.
- You need time tracking and capacity data for billing, utilization, or profitability.
- You run repeatable client processes and want to deploy them from templates with dates remapped.
- You want Docs, Chat, and tasks in one place so conversations stay next to the work.

Can You Use Both?
You can. It’s less common than ClickUp plus Airtable because the two overlap more.
The setup that works: ClickUp is the system of record for work. SmartSuite holds one well-defined process that’s awkward in ClickUp (a compliance tracker, a vendor database). Connect them through integrations where a record needs to spawn a task.
The setup that fails: tasks live in both places. Decide in one sentence what each tool is for, and hold the line.
The Real Question
Picking the tool is the start. Most of the result comes from whether your processes are defined, whether the team tracks time and updates statuses every day, and whether leadership actually uses the data.
Pick the tool built for the shape of your work and the direction of your business. Then do the harder part: getting 20 or 30 people to change how they work every day (and the pushback tends to show up around week 3, whichever tool you picked).

If you’ve been running client work in SmartSuite and you’re moving it to ClickUp:
- Decide what stays. A pure process Solution (vendor database, compliance log) can stay in SmartSuite or move to a simpler home. Move the work.
- Design the ClickUp hierarchy first. Spaces for departments or service lines, Folders for clients, Lists for projects or retainers. Map each task-shaped App to this before you export anything.
- Export Apps to CSV and import into Lists. ClickUp’s importer maps columns to custom fields, assignees, statuses, and dates. Normalize status names during import so every client List shares one workflow.
- Rebuild linked records as Relationships, selectively. Keep only the links that drive views or rollups you’ll actually use.
- Move time data carefully. Export Time Tracking Log entries and decide whether to import history or keep SmartSuite open read-only for a quarter. Going forward, use ClickUp’s native tracking.
- Rebuild automations natively. Most work-moving automations have a direct ClickUp equivalent. Mind ClickUp’s lower run caps if you were leaning on SmartSuite’s volume.
- Build your first client template from your best-run project, with dates remapped from kickoff. This step pays back fastest.
- Run parallel for 2 to 4 weeks with a hard cutoff. Communicate the date, then lock editing in SmartSuite.
