And the truth today is you can ask any of the, you can ask Brain, you can ask Claude, you can ask ChatGPT, whatever, like, what should I do? And it'll always tell you these three things. And as soon as it's done it's like, and you should also do these two things. And the number of screwed up workspaces I've seen from people just blindly following those things is not. Welcome to episode number 23 of ClickUp Weekly. I'm your host, Gray MacKenzie. I'm the founder at ZenPilot. And I've been working in ClickUp since 2017. And one of the things I've loved about ClickUp is their product velocity, how fast the product, evolves and changes and they add new stuff to it. Today we are running through a ton of recent updates in the platform. I'm going to show you kind of the quick and dirty on, hey, here's a bunch of updates that are out there. Here's the ones you should specifically pay attention to and what it looks like in ClickUp. I'm going to show you a free way to, grade your ClickUp workspace, see how your team is performing in the platform at the end. So we've got a lot of good stuff to cover. As always. ClickUp Weekly, is a production of ZenPilot. This is not affiliated with or endorsed by ClickUp. so to throw that out there as well. We're just the unofficial show about ClickUp that comes out each week. All right, let's go ahead and dive in and take a look here. First, big update I wanted to call out is calendar view v2. This is in beta right now, but this gives you a couple cool things. Continuous scrolling across months, is one of the core things that you'll recognize right away. Your calendar event showing right next to your tasks is the second piece of that. And then recurring tasks. It's kind of funny, but finally showing up right in the calendar. And if you've never used Calendar View before, go here to the view section on any list or folder or space and you can add a new view, here so we can add a new Calendar View. Once you're in Calendar View, I'll hide the backlog here, even hide the sidebar. So we're just focused on Calendar View. Once you're in Calendar View, if you go to the settings cog up here in the top right, you'll see this option to use the updated design. But in our new setup, the updated design, we now have the ability to, to scroll back and forth through this, we can hide the backlog. It's super wide, just looks more modern. I've been really enjoying it, so far. If you have recurring tasks and you go set this and you say, wait, Gray, you just told me recurring tasks finally show up, right? But I'm in here and they're not showing. Well, the default, if you go to that settings again and you go to more options, the default is to hide future recurring tasks. So you actually won't see those, recurring items. So if you're in here and you're like, man, it just doesn't work, you can go back into the cog and then, more options here show future recurring tasks. So I think this is a great new update to the calendar view. Second place I'd like to take you is to super agents. And so there's some updates that ClickUp's made to their super agents. The first one is you can now launch a super agent from a webhook. And at first you're like, what does that mean? You know, how does a webhook, like what does a webhook even do? Well, all that really means is from another tool. Or it could be in ClickUp natively, but something think of like Stripe or Shopify or something else. Some action happens in there or in your CRM in a Salesforce or a HubSpot, you may have an action that starts, someone makes a payment, signs a quote, does something, and now you've got work that needs to get triggered. Well, now you can or you want your super agent to run and analyze something. You can now launch those from a webhook. So this get fired from any other app. Along those same lines, you can connect any MCP server now with custom MCP servers in ClickUp. As you're setting this up, you may say, hey, for this super agent specifically, they need access. In our case, I need my sales to delivery handoff super agent to be able to be tied into, HubSpot as well. And so if I'm editing this and giving it, tools or knowledge, I can add additional tools here and allow it to talk to other, tools through their MCP servers. And the third thing is you can clone super agents or save them as a template. In this one, at first I was kind of like, I don't know if I really get that. What's the value of it? Well, one of the big, valuable things that you may want to do is if you have some type of personal assistant in the way it works for you. You probably have something I'm going to talk about here in a second, which are skills tied into how it would work for you. So for me, I've got like, Gray's Voice is an agent that's important to me. If I'm writing something or sending something through and it's AI is generating some of that content, I want it to be done in my voice. Well, I could share the super agent and someone else could use it. But then if I've attached my skill to it and it's writing in my voice, it's not going to sound like Alex on the team or somebody else on the team. And so the ability now to do this, I can have it set up to use mine, but then they could replace my skill that was in there with their skill of their voice, to be tied into a super agent. Obviously, from a ClickUp perspective, I think they want to have as many super agents running as possible. so you do need to pay attention to credit usage, as you're building this out, as your team's working on it. This is actually though, a way to save credits as you're building templates. That ties right into the next thing I want to talk about, which is ClickUp skills. So saved AI playbooks that brain follows consistently. I don't have any in this demo workspace here, but I mentioned, the voice skill. So you might have a write like me or, something else that you want to have built out. You can go in and create the skill. These get created very similarly to how you create a, super agent. But this is a specific set of, instructions, basically a playbook that you're giving, to AI for how to run this. So, hey, we always want to do this thing in this way. and so you'll use all kinds of different, skills, as you get working through kind of the day to day. We'll do a whole additional episode on, skills and a couple of the skills that we're using at ZenPilot that have been really helpful. And if you have skills that you absolutely love, whether you're using them natively in ClickUp or not, love it if you drop that in the comments as well, so that we can all learn and grow together. Okay, meetings. We've got some updates here. The meetings hub. This is a little bit, lower on my priority list of like, hey, this is, awesome. But you do now have a meetings hub. I think the bigger thing is the AI notetaker is now getting Chat messages. So if you're using Zoom, Google Meet Teams and people are chatting and they're saying, hey, check out this link that I just sent. Well, previously the transcript wouldn't know what that link was. Now it's going to grab everything sent in the chat and it just gives you better, meeting, transcription and records of what actually happened in those meetings. So, that is new. That's one if you use AI Notetaker already in ClickUp. this is one that is going to benefit you planning in time, this first one. So the second one is cool too. I'll explain what both of these mean, but bulk editing time estimates. Wow, the amount of time that this could have saved me. So I'm just going to grab a client here, let's go look at their tasks and we'll grab some tasks from here. You know, highlighting three, no big deal. I can just go set the time estimates here and say, hey, that requirement sync is going to take us 30 minutes. It's in there. Well, you may have a whole bunch of things, especially if you use, if you're combining like filtering or search with this and you look for something. but I'm going to grab just a handful of these things here and then, you know, you can bulk change assignees, you can bulk change dates, you can bulk do all kinds of things. Well, we now have the ability to bulk update time estimates. So this is super helpful. You don't have to go through the API to go do this anymore or anywhere else. Now it's just right in here. We can say, hey, these are all going to take me 15 minutes to get done set it. And they all have the time estimate set. Super small, feature, but huge quality life for anybody who's had to manage this in the past. The second thing I'll call your attention to is this one assignee per group in list view. That's like a little bit hard to digest at first glance, but if we took a view of a lot of data and we grouped it, instead of grouping it by due date here we grouped it by assignee. so ZenPilot was assigned to something, but I was also assigned to it like this. Well, I would see a group that says ZenPilot and Gray. But then if I was looking at ZenPilot, well, this one doesn't show up because it's technically in a different group and it doesn't show up under me either. so this would cause people to miss if they were using a view like this. what you now have is you now have this option to say one assignee per group. And just explain how this now works. Now, we get this requirement sync showing up under ZenPilot, under Gray. We've kind of broken things out. So now this requirement sync is assigned to two people. But we're only showing, we're not showing that group anymore. So we are showing it twice. But it makes it super clear now, you know, who's actually got what on their plate versus if we had it toggled off and we'd say, okay, I don't care about that group. I'm only looking. You kind of filter just for what's relevant to me. there's my name. Let me go look at what I've got here. And then you think, we're all good. I've got this one recurring task to do and miss out on something else. So. And you can see as they talk about this that this doesn't just apply to assignee. You can do the same thing if you're using tags or labels. And so this is super helpful for that as well. All right, that's kind of a nerdy one. if that went over your head, that's okay. there's other things that will make more sense as we go through it. A couple of things in terms of structure, subfolders are live on every plan now. we've got nested subfolders in development. The org chart feature which I've shared on a prior ClickUp weekly, that's now generally available. And then I wanted to call this out which is you've got some betas to get into. So if you want to get into this new backlog, click on this. you can see info about what this looks like. It's in beta. We'll link to this feedback request in the show notes, on YouTube. So you can go ahead and join the beta using the link here. This is basically rebuilding the task sidebar that would show up so that we've got a consistent backlog, kind of sidebar here and calendar, timeline and workload. The second one I want to take your attention to is nested logic in conditional logic. this is kind of like multi level conditional logic. This is enabled. There's a beta for it. So you can do the same thing. You can get in on that form and then we've covered the four different types of dependencies. And if you're interested in that and enforcing it, here's the link to sign, up early for that. Okay, that's a ton of nerdy stuff. I wanted to throw that all at you. The big things that I would call your attention to if you need it, from a workspace perspective, from a structured perspective, subfolders, probably a ton of people, will think that they need it who don't truly need it. So I'd caution you there to make sure. Hey, does this really make sense? Do we really need subfolders? There are real cases where you do need subfolders. if you are a ClickUp champion, you're a person internally who's administrator, project manager, you're going to love those updates and you'll probably love the Calendar, view. I think everybody who uses Calendar View, this is the one you're going to benefit the most from. Super, agents. If you're using super agents in your workspace or you're not yet, this will be huge. So there's a couple things that are, more nerdy. This is a more niche audience who's going to need that. Same thing for org chart and same thing for different types, of dependencies or nested logic. And conditional logic already informs. so anyways, I'll just try to help you sort through like, hey, what, what of this stuff applies to me? Where should I spend my time? I've got limited time. Where should I spend it? Where should I not? hopefully that's helpful for you. Okay, I want to take you somewhere else. Let's go to grader.zenpilot.com this is free for now. completely fine for you to get in. All you're going to do is click Grade my workspace. It's going to pull up the ClickUp workspace selector. You select your space and connect it. It's going to then ask you run the connector. It's going to take a minute, probably a couple minutes as it's connecting to ClickUp, it's going to scan your workspace, and then it's going to run through. That's all you need to do. It takes a couple minutes to run through and scan your space. But there's three main categories that we're looking at on time, delivery, accurate forecasting and teamwork. And if there was a fourth category I could look at, it would be structure. And I'm going to explain how we share some of that stuff here as well. I think clients should generally be folders, not spaces. I, think you should have deliverables be represented by tasks that have a custom Task type, often the milestone, and then you should have actionable subtasks. That's left out of the grader for now. But we have these three questions that we're basically trying to answer. First one is, is work completed? When you said that it would be, how good is your team at predicting when stuff will get done and then actually delivering on that? That makes a huge deal, to the stakeholders, around your work, obviously your internal team, first and foremost, but any clients or partners that you're working with as well, then accurate forecasting. So this is your team's ability to estimate out, like, how long will it actually take us? And then teamwork, basically. How well does your team share, the load in completing work in ClickUp? it's okay. I don't expect in any workspace that, the most engaged person and the least engaged person are going to be exactly equal in terms of task allocation or time allocation, or anything like that. But, we need to make sure that work is getting assigned and it shouldn't be. We've got four people on the team who run everything in ClickUp, three people on my specific team who haphazardly are in there and out of there, and then four people who could care less and they just slack me for everything. Like, that's such a frustrating, chaotic world to live in. Okay, then we'll call out some of the highlights that we found. Like, hey, specifically, here's some of the issues. you've got unowned work in the system. this one's not factored into the grade because there are times where, well, I was just keeping a backlog of my ideas. or I was treating this as a database. Look at how much of your work is way overdue. How well are you making the process live, where the work gets done? The only is, is our descriptions the only way to do that. for sure it's not the only way to do it. but is this a tale, you know, is this a telltale sign in a lot of workspaces, if 100% of their tasks have zero description, there's nothing tied to it. yeah, that's definitely a sign. They're like, we're not, we're not great at assigning out and giving people a clear definition of done. Here's what good looks like. openwork that's past your estimate. you can see kind of what this looks like. One of the other things we look at is custom fields. Hey, do you have a ton of unused Custom fields. that question popped up right away, which is like, okay, this is helpful for me. This is getting my brain thinking, like, what three specific things should I go do based off of this? And as soon as it's done, it's like, and you should also do these two things. And the number of screwed up workspaces I've seen from people just blindly following those things is not so, at least, still, for where we're at here, as we're into Q4 of 2026, you, still need somebody who knows or you need to know how should this whole workspace fit together? That's why if you ask Claude, is it okay or not okay that we have 328 tasks that have no owner, it's going to say that is not okay. But if you ask someone who's actually built huge robust systems in ClickUp and understands, no, no, no, this is not a simple binary. there are situations where this could make sense. These all are sitting in a backlog with a planning tag on them or a planning label on them. and we've got a plan for how we systematically work through it. That's totally fine. In fact, that's better than having zero, because our ideas of what we want to work on next time are documented. There's someplace centralized where our whole team can access it. Obviously that' good thing. There's, other cases where it is terrible. So it's not as clear cut as, a lot of these tools want to make it to be. All right, that's a long winded overview of the ClickUp grader. Hopefully that's helpful for you to see. I'd love for you to try it out. And that'll do it for this episode of ClickUp Weekly. I appreciate you being here. Make sure that you like the video. Share it. Leave, a comment.
