Because ClickUp is a go-to tool for so many service teams, time tracking is one of the most important parts of the product and ClickUp has made some big updates to the time tracking component in the tool. So, I want to walk through all of those in today's episode of ClickUp Weekly. This is episode 15. My name is Gray Mackenzie. I'm the founder at ZenPilot and the host of ClickUp Weekly. All right, let's dive into ClickUp Weekly episode 15. And today we are going to start with what's new in the platform as always. So, time tracking. ClickUp's pushed out a lot of updates to time tracking. I'm just going to click and we're going to open some of this up. So, this is an ongoing item and we've got a note here on some of the stuff that is live now. And then also what is coming. So, this list is pretty simple, but when you would export a time card out of ClickUp, you know, any dashboard that you're building and you put in one of the time tracking or time reporting cards, that CSV is massive. There's still more room to make this even better, but right now it's lighter by default, which is great. You can filter in those cards by team um and then group either by tag or tasks in time reporting, both of which are helpful features. Most of these items here are admin so keep in mind with some of these updates of how ClickUp time tracking works. You know, obviously if we're inside ClickUp, maybe we'll go to a different uh let's just grab one here. You know, I could now right click and start a timer on a specific task, but I could have done it from here or I could have logged into the task itself and begun time tracking or changed modified any entries that we have here. So, this is how time tracking is working to get in there. Well, most of these, you know, who's exporting CSV reports on your time tracking data? Who wants to filter that stuff down? Most of this is admin related stuff that's going to get used. But, some of these are end user. That's the same thing, time entry deletion logs. So, all of that means is we'll we'll pull this one back up here. If I went and deleted a time entry that I had, so I take one of these time entries and delete it from here. This will show up and it'll take a minute to show up, but this will show up in the activity log on the task itself. You know, who's made any changes to this. We now have notes of any time entries that were actually deleted from there as well. If you're using the personal list, and I strongly caution you on using the personal list, but there are use cases. We'll cover this in an upcoming episode and talk through like, hey, how do we balance out and how do we lead our team in terms of where to use personal list versus stuff that's shared. But, you now have time estimates there. If you're in your timesheets themselves, so let's go back to the sidebar here and we'll go grab our timesheets. So, if you need to remove, edit info on your timesheet. So, I just went to the timesheets app, looking at mine. Obviously, we could look across the team uh at other people's who have got the approval feature. But, now we've got some editing ability right there as well. And then I showed you already the right click to start a timer. So, we've got this kind of chunk of usability both for end users and admins. This chunk of stuff that's already pushed. And then here's what else is coming. So, we've got these PDF exports. So, not just exporting to CSV, but being able to push them into PDFs. Is that something that you need? We have a product here at ZenPilot called ZenPilot Reports. There is a a new version of that coming out that has all of your time tracking data tied in with your profitability and your kind of financial management um metrics. And so, I don't see that many use cases where people need a PDF export. Usually, they're trying to work with the data or if they want to incorporate it into invoices or some other type of reporting, they typically want it to stream directly into your invoicing software, whatever your financial tools are. If you're using QuickBooks online or an old school tool like FreshBooks or Zero or, you know, however you're you're invoicing, they usually want it there. But, there must be enough requests for PDF that that is coming. These are the bigger ones though. Time tracking with AI and agents, I'm doing this already using ClickUp's MCP and through Clockwork Code. As I'm finishing up a task, I'm entering in my time tracking data or I'm having it track it in the background and push it in. But, natively in ClickUp, time reporting dashboard in the time hub. And this is one of the first mentions of time hub that I have seen. Obviously, that falls in line with the rest of ClickUp's product strategy of, "Hey, we've got all these different hubs." But, having that that dashboard coming, you can see some of the feedback and conversation around what's happening here and so, where where all of these [clears throat] different ideas have come from. So, we get this whole list of stuff that's coming here shortly. Being able to see tags, this is one that has been requested for a long time. Automatically rounding up or down track time. Anytime we work with a law firm, this is always a request. Hey, we don't do anything that doesn't charge a client at least 15 minutes. So, I'm going to only looked at that thing for 2 minutes and replied to the client, but we charge 15 minutes. I don't personally love it, but that's just how some industries work. And so, automatically rounding is a common feature request and right now you've got to use a third-party tool to go do that. It's no no major problem to go do it, but now that can just happen natively in ClickUp as a setting as well. So, there's some cool features on the time tracking side they're already in the works and obviously, they're coming here around time in ClickUp. Okay, let's talk about what is new this week in ClickUp 4.04. So, we've got baselines in Gantt. We've talked about this previously. We covered this in our roadmap episode as well. But, let's go into ClickUp here. And so, you know, the idea of baselines is, "Hey, I want to see are we actually getting stuff done on the timeline that we predicted?" And then, "Oh, we had to readjust. Now, we have a new baseline." Well, how well did we do at hitting that? So, I'm going to zoom out here a little bit. Actually, let's pull up maybe zoom into one here. So, we had a baseline set originally on the date. You can see that here, and I can actually change the color and say, "This was our original plan." And we're going to leave that one in green. That was our original plan. Then, you know, "Oh, no. We had stuff move, and we had to reschedule it." So, we've gone ahead, and we've rescheduled, you know, our work, and we're now able to see how that varied from what we had before. And then, we could set another baseline if we wanted to. This is now our new baseline. And so, we may want to add another baseline so we could see our baselines and say, you know, "This was baseline two." And now, you're kind of able to keep track of how things have shifted over time with baselines. This is now live in the platform. You've got access to it in your uh workspace as well. So, this would be super useful, especially for stuff where compliance to deadlines uh really does matter. Baselines are used way more in client or partner work than for internal work. I actually enjoy seeing it for internal stuff as well. And now being able to do that natively, we don't need to mess around with extra custom fields and automations in ClickUp. So, that's going to save you some of your automation usage if you're one of the power users who's been solving for this in that way to this date. Okay, the next one, ClickUp Brain is now on mobile. So, you know, you can pull up your your phone, log into uh ClickUp, and you've got Brain. Conversations are synced between. You can choose your model. This is actually really nice for being able to to work on the go. ClickUp inside ChatGPT, I'd had the kind of the beta MCP connector installed, and I've been using it for a couple months now, but now there's a native connector in the app store that you can go set up and configure. In fact, I may have Chat GPT pulled up here and if we go to our connectors. In fact, let me see if I can do this off screen real quick. Well, this will be not as fun if I'm doing it off screen. But go ahead and pull this up anyways. So, if you search through the app store, you'll see ClickUp. I'll disconnect this again and reconnect it. I did it earlier just to just to run through it. ClickUp obviously you won't have it set up yet, but you're just searching through the apps and the connector is now natively available. You can run searches, [clears throat] you can update your tasks, you can ask it to do all kinds of cool stuff directly in Chat GPT, which is super cool. Uh there's a whole list of bug fixes pushed out as well. So, love to cover those uh when they happen and there's anything that's noteworthy or like, "Hey, this is one that maybe impacted a decent number of people." So, there was this visual issue with dragging and fold folders and lists down in the hierarchy if you had a ton of stuff and that's now solved. So, I appreciate that that was obviously solved. Shoutout to the ClickUp product team for solving that one. You know, that was one that had impacted a couple of power users. Bunch of other ones and I appreciate that ClickUp doesn't hide from these and says, "Yeah, hey, there's stuff that needs to get fixed and we're on it and fixing it." Okay, that is the most of the updates. Uh I didn't mention this one. Meeting notes, you can now choose what you want in your docs. Do you want a summary, recording, or transcript? Most users who I talked to were like, "Hey, I I I want all three. If we want them turned off, we'll turn them off later, but I want to have access to that stuff." Regardless, there might be cases where you don't want to. And then some changes around reminders and a few other things with super agents and brain that are also called out. This is kind of a an under the radar feature update. So, if someone has access to manage an agent, as soon as you give them that access, it's going to DM them and give a rundown of what is this super agent actually do? And that is super helpful because otherwise you get access to something, there's all kinds of creative names. Like, I'm so impressed with how y'all are naming your super agents in ClickUp. I know that's a silly thing, but there's so many different naming mechanisms. Some of them are super self-explanatory. Other ones, a lot of people are going to these acronyms. And so, you know, I'm naming something Dan, and you know, it stands for whatever the phrase is. That's not self-explanatory to people at the beginning. Once they know it, it's helpful, but at the beginning it's not necessarily helpful. And so, that rundown is is actually pretty simple. This was inevitable, but you no longer need to go into the agent builder to tweak your agent instructions, which is great. Running on schedules, all of that's in there as well. If you're heavy Cursory user and haven't already been using ClickUp, there's now kind of the native integration, [clears throat] which is terrific. So, a lot of updates from ClickUp here over the past week. Wanted to make sure that we called those out and hit on the main ones, which Baselines has been probably the most requested one. The native connector now being available. This is saves you a couple steps in the setup inside ChatGPT. And ClickUp right now on mobile was I think this is one that'll be really impactful for anybody, especially if you've got folks who are on the run. Okay, I've got two feature requests I want to call out. Both of these came in from users. So, advanced dependency options, this is just an update. You can now sign up early to get access to different types of dependencies. And then we covered this in a prior episode of ClickUp Weekly as well. And then restricting task types by list and location. If you've not played with custom task types, by default in ClickUp everything is a task. But it doesn't necessarily need to be a task. Well, this is just a demo portal. There's not a ton of stuff and already there's, you know, maybe a dozen different options for different task types that I could go into. And it's nice to see you know, descriptions and hey, what are we doing for each of these task types? But it's not crazy for a large team to wind up with hundreds of options for different task types. Inside ClickUp's own ClickUp workspace there are tons of different task types. So this feature set to say, hey, or the feature request to say, hey I want to restrict the task types that are shown there by the list or location that something's in. And that might not be the only way that we could restrict it, but that'll be super helpful to say, hey, we're in the marketing area right now. So I don't need to see in the marketing area, you know, is this an invoice or is this a job applicant custom task type? I just want to see stuff that's marketing related. It's probably a deliverable. Hey, is this a blog post or a video or YouTube video or, you know like all these different options. So this is one that I want to encourage you to go give the little upvote to. ClickUp is working on this. They've called that out as a, hey, this is something that is in the building now status. But give us an upvote, you'll get notified when it's available. And oh, I left this I unvoted this one just so I could do it. And that's all you have to do. You just need to make sure you're logged in hit upvote and you'll get notified now when this status changes and either rolls out in beta or rolls out live to production. Okay, that's lots to cover.
